
The promise vs. the reality
Buildertrend has a QuickBooks integration. It syncs invoices, bills, and POs between the two systems. On paper, it eliminates double entry.
In practice, 80% of the contractors we onboard have it set up wrong. The result: duplicate transactions, unmatched invoices, and job costs that don't tie out.
The 3 most common mistakes
1. Syncing both directions
Buildertrend should be the source for project data. QuickBooks should be the source for accounting. When you let both systems push data to each other, you get duplicates. Every time.
The fix: One-way sync. Buildertrend sends invoices and POs to QuickBooks. QuickBooks handles payments, bank feeds, and reconciliation. Never the other way.
2. Mismatched chart of accounts
Buildertrend has cost codes. QuickBooks has accounts. If they don't map 1-to-1, every synced transaction lands in the wrong bucket. Your job costing is fiction.
The fix: Set up your QuickBooks chart of accounts (NAHB categories) first. Then map every Buildertrend cost code to the correct QBO account. Test with 5 transactions before turning on the full sync.
3. Not reconciling the sync
Even a well-configured integration creates orphan transactions. A bill syncs but the vendor name doesn't match. A PO syncs but the amount changed after a change order. These pile up.
The fix: Weekly reconciliation. Every Friday, compare the Buildertrend job cost report to the QuickBooks job P&L. They should match within $100. If they don't, find the gap before it compounds.
The right setup (step by step)
- Build NAHB chart of accounts in QuickBooks
- Map Buildertrend cost codes to QBO accounts
- Set sync direction: Buildertrend → QuickBooks only
- Test with 5 transactions across 2 jobs
- Turn on automatic sync
- Reconcile weekly
This takes about 4–6 hours to set up right. It saves 10+ hours a month in duplicate entry and error-chasing.
What about Procore, Knowify, and CoConstruct?
Same principles apply. Different buttons, same logic. Source of truth for project data is the PM software. Source of truth for accounting is QuickBooks. One-way sync. Weekly reconciliation.
