Can QuickBooks actually run a construction company?

Short answer: yes, for most builders under about $15M. But only once it is set up the way construction money actually moves.

QuickBooks is not the problem. The default setup is.

QuickBooks Online runs job costing, progress billing, and retainage perfectly well for a contractor. What ships by default is a chart of accounts built for a business that sells one thing to one kind of customer. Every job cost falls into a few generic buckets, direct costs blend with overhead, and you end up with a P&L that says you made money and a bank balance that disagrees.

Fix the structure and the same software tells you the truth job by job. That is the whole difference, and it is why most builders do not need to buy dedicated construction accounting software at all.

Retainage hides inside AR and quietly ages past a year. Tracked separately, it gets collected.

13-week cash forecast

The only report that answers whether you can cover payroll in three weeks. Built alongside QuickBooks, not inside it.

How do Buildertrend and Procore connect to QuickBooks?

Both sync to QuickBooks Online. Both will happily create double entries, ghost transactions, and broken job costing if the mapping is wrong, and the damage is quiet: your numbers still look like numbers. The fix is deciding which system owns which record before you turn the sync on.

Should a contractor use QuickBooks Online or QuickBooks Desktop?
QuickBooks Online for almost every contractor now. It connects to Buildertrend, Procore, Knowify, CoConstruct, and ServiceTitan, your bookkeeper and CFO can work in it at the same time, and Intuit is putting its development there. Desktop and Enterprise still win for very heavy inventory or assembly work, which most builders do not have.
What breaks when contractors use QuickBooks out of the box?
The default chart of accounts. It is built for a business that sells one thing to one kind of customer, so every job cost lands in a few generic buckets and you cannot tell which job made money. Add unbilled change orders and uncoded retainage and the P&L says you are profitable while the bank says otherwise.
How do you set up job costing in QuickBooks?
Four things, in order. Import a construction chart of accounts that separates direct job costs from overhead. Turn on projects or customer-job tracking. Code every bill, receipt, and payroll hour to a job as it happens. Then run profit and loss by job weekly, not at year end. The order matters, because clean structure with sloppy weekly coding still gives you numbers you cannot trust.
Do I need construction accounting software instead of QuickBooks?
Usually not. Dedicated construction platforms are worth it when you run heavy equipment costing, union payroll, or bonded work above roughly $15M. Below that, QuickBooks plus a construction-correct setup and a real WIP schedule does the same job for far less money and far less change management on your crew.
